Privacy policy

Who we are

Fast Fit Tyres & Recovery ("we", "us", "our") is a family business based in Cwmbran. We fit tyres and recover vehicles across South Wales.

We are the data controller for the personal information described in this policy. That means we decide how and why it is used, and we are responsible for looking after it under UK data protection law (the UK GDPR and the Data Protection Act 2018).

What information we collect

Information you give us

When you call or message us for a job, we collect what we need to do it:

  • your name and phone number;
  • where you are, such as a road, a junction, a car park or a WhatsApp location pin;
  • your vehicle's registration, make and model, and the tyre size;
  • what has happened and where the vehicle needs to go;
  • any photos of the tyre or vehicle that you send us;
  • payment details, if you pay by card or bank transfer (see "Who we share your information with").

Information from this website

This website has no forms and no accounts. When you visit, the company that hosts it records standard technical details, as every web server does: your IP address, the page you asked for, the date and time, and the type of browser and device you are using. We use these only to keep the website secure and working.

The Call and WhatsApp buttons open your phone or WhatsApp with our number filled in. Nothing is sent to us until you place the call or send the message.

We also use Google Analytics and Google Ads to see how people use the website: which pages they visit, whether they tap Call or WhatsApp, and which of our Google adverts brought them. This uses cookies, explained under "Cookies".

Children

Our services are for drivers and this website is not aimed at children. We do not knowingly collect information about anyone under 16.

How we use your information

We use your information for the following purposes. For each one, the law requires us to have a "lawful basis", which is shown in brackets.

  • To quote and carry out your job. That includes agreeing the price with you before we set off, finding you, texting you who is coming, and handing your vehicle to the garage or address you chose (contract).
  • To take payment and keep our business records. We must keep records of the work we do and the money we take for tax purposes (legal obligation).
  • To deal with queries. That includes calling you back if we missed your call, answering questions about a job afterwards, and keeping a record in case a problem comes up later (legitimate interests, which here means running our business properly and being able to put things right).
  • To keep this website secure and working (legitimate interests).
  • To see which pages and Google adverts lead to calls and messages, so we can improve the website and spend less on adverts that do not work (legitimate interests).
  • To meet legal requests, such as passing information to the police or a court when the law requires it (legal obligation).

We do not use your information for marketing, and no decisions about you are made by automated means.

Who we share your information with

Your information is never sold, and it is never passed on for marketing. We share it only with the people who need it to do the job, and only as far as they need it.

  • Our fitters and drivers, who come out to you.
  • A garage or address you ask us to take your vehicle to, so they can book it in. They receive your name, your number and the vehicle details.
  • Service providers who act for us, such as our phone line provider, WhatsApp (run by Meta), the company that hosts this website, Google (for website analytics and advert measurement), and the payment provider if you pay by card. Card details go straight to the payment provider and are not written down or stored by us. These companies may only use your information to provide their service to us.
  • The police, a court or our insurer, where the law requires it or an insurance claim needs it.

WhatsApp

Messages you send us on WhatsApp pass through WhatsApp. Meta's WhatsApp privacy policy explains how the service handles them. On our side, they are dealt with in the same way as a phone call.

Transfers outside the UK

We do not send your information abroad ourselves. Some of the services we use, WhatsApp and Google for example, are run by companies that may process information outside the UK. Where they do, they are responsible for protecting it with safeguards that UK law accepts.

How long we keep your information

  • Job records (who the job was for, what we did, where, and what it cost) are kept for six years, which is how long we must keep business and tax records.
  • Messages, photos and location pins are kept only as long as we need them for the job and any follow-up query. They are then deleted.
  • Website server logs are kept for a short period by the company that hosts the website.
  • Website visit data in Google Analytics is kept for 14 months, then deleted by Google.

When the time is up, we delete the information or remove anything that could identify you.

How we keep your information safe

We take sensible steps to protect your information from loss, misuse and unauthorised access. Only the people who need your details to do the job can see them, and the companies we use are limited to what they need to provide their service to us.

No method of sending information over the internet or a phone network is completely secure, so we cannot guarantee absolute security. If a breach put your rights at risk, we would tell you and report it to the Information Commissioner's Office as the law requires.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your information, unless we have a legal reason to keep it (the six-year job record is one);
  • ask us to restrict how we use your information;
  • object to us using your information where we rely on legitimate interests;
  • ask for your information in a format you can pass to someone else.

These rights are free to use. To use one, contact us using the details in "Contact us and complaints". We may ask you a question or two to check who you are, and we will reply within one month.

Cookies

This website uses Google Tag Manager, Google Analytics and Google Ads. When you open a page, they set cookies on your device and send Google details of your visit: the pages you look at, whether you tap Call or WhatsApp, your type of device and browser, your rough location (worked out from your IP address) and, if you came from one of our Google adverts, which one.

  • _ga and _ga_ followed by an ID (Google Analytics): tell one visit from another and count visits. They last up to two years.
  • _gcl_au (Google Ads): links a visit to the advert that brought it, so we can see which adverts lead to calls. It lasts 90 days.

We use this only to see how the website and our adverts are doing. We do not use it to show you adverts around the web. How Google uses information from sites that use its services explains Google's side.

You can refuse these cookies. Block or delete them in your browser's settings, or install Google's Analytics opt-out add-on. You can manage the adverts Google shows you at My Ad Center. The website works in full without them, and the Call and WhatsApp buttons are unaffected.

The fonts are served from our own website, and we set no other cookies.

Some pages link to our Google Business Profiles and to WhatsApp. Once you follow a link you are on another company's service, and its own privacy policy applies, not this one.
